LOCKNEY AREA CHAMBER OF COMMERCE

COMMITTEE STRUCTURE

Major Considerations:

  1. The committee structure is intended to involve the entire membership in Chamber activities.
  2. A member of the Board of Directors shall chair each committee.
  3. Committee chairs shall be recommended by the Nominating Committee and approved by the Board of Directors annually at the February meeting.
  4. Committee membership will be comprised of Chamber members, including members of the Board.

Committee Chair Responsibilities:

  1. To schedule meetings and inform all committee members of scheduled meetings.
  2. To appoint a vice chair to assist in conducting the work of the committee.
  3. To involve all committee members in the work of the committee.
  4. To conduct committee business in a timely and responsible fashion.
  5. To keep the President and Board of Directors informed of committee progress via direct contact and reports at monthly meetings of the Board.
  6. To inform the President and the Board of Directors in advance when additional member participation (beyond the committee membership) is needed.

 

STANDING COMMITTEES

Nominating Committee

Membership: Five members of the Board of Directors appointed by the President. The committee will elect a chair.

Duties:

  1. The Nominating Committee will keep records detailing the terms served by members of the Board so as to identify vacancies to be filled.
  2. Consistent with the By-Laws, the Nominating Committee will recommend individuals to serve as officers and directors. These recommendations will be presented to the Board for approval annually at the February meeting.
  3. The Nominating Committee will recommend Board members to serve as chairs of the standing committees. These recommendations will be presented to the Board for approval annually at the March meeting.

Old Fashioned Saturday Committee

Membership: Chair and no fewer than 20 members of the Chamber membership. Due to the scope of Old Fashioned Saturday, this committee may utilize all members of the Board of Directors and as many of the general membership as needed. It is the duty of the committee Chair to identify those needs well in advance of the event.

Duties:

Coordination of all aspects of Old Fashioned Saturday, including:

  1. Advance publicity across the region in cooperation with the Publicity Committee
  2. Coordinate and publicize three-on-three basketball tournament, including publicity, rules, officials, goals, basketballs, entry fees, T-shirts, drink booth, and awards
  3. Make personnel and time assignments for all events
  4. Vendor relations, including booth rental, rules and regulations, fee collection
  5. Select and contract band for the street dance
  6. Secure local/regional entertainment as deemed appropriate
  7. Arrange for trailers and electricity for entertainment
  8. Arrange for toilets and trash cans
  9. Plan entertainment schedule
  10. Arrange Coke booth rental for both main street and basketball tournament
  11. Purchase drinks and arrange for ice delivery to Coke booths
  12. Schedule clean-up

A Holiday Affair Committee

Membership: Chair and four members.

Duties:

  1. Schedule event date (typically the first Thursday in December)
  2. Inform member businesses of event date
  3. Coordinate advance publicity in cooperation with Publicity Committee
  4. Arrange for Christmas music (equipment, tapes, CDs) during the event
  5. Recommend special promotions (raffles, drawings, etc.) to Board of Directors
  6. Coordinate special promotions if approved

Lockney Junior Livestock Show Committee

Membership: Chair and five members

Duties:

  1. Arrange advance publicity in cooperation with Publicity Committee
  2. Schedule workers as needed for event, including announcer, treasurer, record keepers, and awards presenter
  3. Arrange for prize money and awards

Chamber Banquet Committee

Membership: Chair and 10 members

Duties:

  1. Recommend a date, location, theme, entertainment, menu, meal vendor and price, ticket prices, and ticket sales for the annual Chamber Banquet (typically held in late February or early March) to the Board of Directors at the December meeting
  2. Reserve Banquet location
  3. Schedule personnel to take tickets, serve meals, and clean up afterwards
  4. Provide decorations and set up facility (head table, guest tables, microphones, piano or other entertainment needs, etc.)
  5. Plan and conduct advance ticket sales
  6. Develop and print the Banquet program
  7. Contact individuals to lead invocation, benediction, and make special presentations, as needed
  8. Schedule entertainment and provide practice sessions as needed prior to the Banquet
  9. Arrange for door prizes, raffles, drawings, or other activities as deemed appropriate
  10. Issue invitations to appropriate persons

 

Downtown Christmas Decorations Committee

Membership: Chair and 10 members

Duties:

  1. Order replacement bulbs
  2. In early November, inspect decorations and make repairs and bulb replacement as needed
  3. Contact utility company and committee members to schedule hanging of decorations immediately after Thanksgiving
  4. Periodically inspect hanging decorations and repair as needed throughout December
  5. Contact utility company and committee members to schedule removal of decorations immediately after January 1
  6. Inspect, repair, and store decorations

Business Recognition Committee

Membership: Chair and five members

Duties:

  1. Identify ways to systematically recognize and publicize Chamber member businesses and their products and/or services
  2. Contact new businesses to welcome them to Lockney and schedule ribbon cuttings
  3. Schedule and coordinate ribbon cuttings and publicity for new businesses, in cooperation with Publicity Committee

Economic Development Committee

Membership: Chair and 10 members

Duties:

  1. Seek grant and other funding opportunities for economic development of both existing and new businesses in Lockney
  2. Maintain current information useful in the recruitment of prospective businesses to Lockney
  3. Serve as the Chamber’s liaison with City and County government and relevant taxing entities relative to the recruitment of new business
  4. Serve as the focal point in the recruitment or new businesses or the retention of existing businesses

Education Committee

Membership: Chair and 10 members

Duties:

  1. Poll member businesses to identify educational needs
  2. Conduct workshops or seminars beneficial to member businesses
  3. Conduct workshops or seminars useful to Chamber members

Awards Committee

Membership: Chair and eight members

Duties:

  1. In cooperation with the Publicity Committee, publicize and seek nominations for Chamber awards, including Citizen of the Year; Notify winner’s family members and invite them to attend the Chamber Banquet
  2. Select award recipients
  3. Arrange to have award recipients present at Chamber Banquet
  4. Order awards for presentation at annual Chamber Banquet
  5. Inform President of award recipients and provide biographical information for use in announcing presentations at Chamber Banquet
  6. Make recommendations to the Board concerning new awards to recognize members of the community

Membership Committee

Membership: Chair and 10 members. Due to the scope of the committee assignment, all members of the Board of Directors and other Chamber members as needed will participate in the membership drive.

Duties:

  1. Recommend a dues structure to the Board of Directors at the March meeting
  2. Plan and organize an annual membership drive to be completed by the end of April
  3. In cooperation with the Publicity Committee, coordinate publicity in advance and during the membership drive
  4. Provide membership forms and other needed information to those participating in the membership drive
  5. Maintain a computer database of all active members, including names, addresses, phone numbers, email addresses, and membership status
  6. Arrange for timely payment of membership dues


Sports Committee

Membership: Chair and 10 members

Duties:

  1. In cooperation with the Lockney Independent School District, recruit UIL football, basketball, and baseball playoff games to Lockney
  2. In cooperation with the Lockney Summer Baseball Program, recruit Little League, Babe Ruth, and Senior Babe Ruth tournaments to Lockney
  3. Recommend additional sports-related activities which may be conducted in Lockney
  4. Coordinate all aspects of hosting such events, including personnel assignments, equipment, and other resources as needed

Publicity Committee

Membership: Chair and five members

Duties:

  1. In cooperation with the other standing committees and the Board of Directors, publicize all Chamber events in local, regional, and state media as needed
  2. Develop and maintain a current Lockney Area Chamber of Commerce brochure
  3. Design and recommend a logo for the Lockney Area Chamber of Commerce
